User's can be added to an Event without being placed into a specific Shift. This approach is useful for collecting expressions of interest (EOIs) before Shifts are created, or holding User's in a pending state while gathering required details before officially accepting them.
š”Tip: User's must have a Rosterfy account to be added to an Event or Shift. See the Create and Update a Rosterfy User Profile article for more information.
IN THIS ARTICLE:
Add a User to an Event
There are two ways to add a User to an Event: directly within the Event setup, or through an individual User's profile.
š”Tip: After assigning a User to an Event, you must still manually add them to a specific Shift within that Event afterward to track their attendance and generate their timesheet.
Via the Event
Click Events > Events.
Click the More Actions menu on the Event's Users you wish to view.
Click View Users. The selected Event's User list appears:
Click the Add User button. The User Search appears:
Enter a User's name.
Press Enter, or click the magnifying glass icon to search.
Click to drag the User into the User list. The Add User window appears:
(Optional) Click the Status dropdown to apply a status to the User.
(Optional) Enter a date and time for Expression of Interest Completed At, if applicable.
Click the Submit button.
Via the User's Profile
Click Users > Users.
Click the More Actions button on the User you wish to add to an Event.
Click View Profile. The User's profile appears:
Click the Events/Shifts option in the left-hand menu. The list of Events and Shifts the User is rostered to appears:
Click the Add User to Event button. The Add Users to Event window appears:
Click the Event field to enter the name of the Event you wish to add the User to. This field is required. The Trigger Events checkbox appears once the Event name is added.
(Optional) Click the Status dropdown menu to assign a status to the User. The default status is Confirmed.
Click the Submit button.
Delete a User From an Event
There are two methods to deleting a User from an Event: in the Event itself, or via the User's profile.
š”Tip: A User cannot be deleted from an Event if they are rostered to active Shifts in an Event.
Via the Event
Click Events > Events.
Click the More Actions menu on the Event's Volunteer list you wish to view.
Click View Users. The selected Event's User list appears:
Click the More Actions menu on a the User you wish to delete.
Click Delete. The following window appears:
Click the Yes button.
Via the User's Profile
Click Users > Users.
Click the More Actions button on the User you wish to add to an Event.
Click View Profile. The User's profile appears:
Click the Events/Shifts option in the left-hand menu. The list of Events and Shifts the User is rostered to appears:
Click the More Actions menu on the Event you wish to remove the User from.
Click Delete. The following window appears:
Click the Yes button.
