Add a User to a Shift

Discover the different methods for assigning Users to Shifts from various locations within the application.

📌 Note: The screenshots and settings shown in this article may not match what you see in your own platform, as Rosterfy is highly customisable. If you need guidance specific to your setup, please contact our support team.

There are a number of ways to add a User to a Shift depending on your workflow. Administrators can assign individuals directly while managing a Shift within an Event, open an individual User's profile to update their schedule, add a User directly from the Shifts list, or select single or multiple Users directly from the User list.

💡Tip: User's must have a Rosterfy account to be added to an Event or Shift. See the Create and Update a Rosterfy User Profile article for more information.


Add a User to a Shift

There are several ways to add a User to a Shift depending on your location in the Rosterfy platform.

Via an Event's Shift List

  1. Click Events > Events.

  2. Click the View Shifts button on the Event's Shifts you wish to add the User to. The Event's Shift list appears:

  3. Click the View Users icon on the Shift you wish to add a User to.

    The Preview window appears displaying the User List:

  4. Click the View More Details button. The Shift Users list appears:

  5. Click the Add button. The User Search appears:

  6. Enter a User's name.

  7. Press Enter, or click the magnifying glass icon to search.

  8. Click to drag the User into the Shift User list. The Add User window appears:

  9. (Optional) Click the Event Shift status dropdown menu select a Shift status for the User. The default status is Pending.

  10. (Optional) Click the Check in Date/Time field to enter the User's check-in date and time for the Shift.

  11. (Optional) Click the Check out Date/Time field to enter the User's check-out date and time for the Shift.

  12. (Optional) Click the Included Break Time hours and minutes dropdown menus to add a break for the User's Shift.

  13. (Optional) Check the Is Shift Leader? box to assign the User as a Shift Leader. See the Add a Shift Leader article for more information on a Shift Leader's responsibilities.

  14. Click the Submit button.


Via the User's Profile

  1. Click Users > Users.

  2. Click the More Actions button on the User you wish to add to a Shift.

  3. Click View Profile. The User's profile appears:

  4. Click the Events/Shifts option in the left-hand menu. The list of Events and Shifts the User is rostered to appears:

  5. Scroll down to the Shifts section.

  6. Click the Add User to Shift button. The Add to Shift window appears:

  7. Click the Event field to enter the name of the Event the Shift is located. The following fields appear after the Event is selected:

  8. (Optional) Click the Event Shift Date field to enter the date of the Shift, if applicable.

  9. Click the Event Shift field to enter the name of the Shift.

    💡Tip: Click the Create new Shift button to set up a new Shift if the one you need isn't listed.

  10. Click to select the Shift desired. The following field and options appear:

  11. Click the Status dropdown menu to select a Shift status to assign to the User.

  12. (Optional) Click to check the Add to all linked Shifts box to add the User to every recurring Shifts connected to this Shift. This option only appears if recurring Shifts are set.

  13. (Optional) Click to check the Trigger Automation box to apply the automations associated with this Shift.

  14. Click the Add to Shift button.


Via the Shifts List

  1. Click Events > Shifts.

  2. Click the View Users icon on the Shift you wish to add a User to.

    The Preview window appears displaying the User List:

  3. Click the View More Details button. The Shift Users list appears:

  4. Click the Add button. The User Search appears:

  5. Enter a User's name.

  6. Press Enter, or click the magnifying glass icon to search.

  7. Click to drag the User into the Shift User list. The Add User window appears:

  8. (Optional) Click the Event Shift status dropdown menu select a Shift status for the User. The default status is Pending.

  9. (Optional) Click the Check in Date/Time field to enter the User's check-in date and time for the Shift.

  10. (Optional) Click the Check out Date/Time field to enter the User's check-out date and time for the Shift.

  11. (Optional) Click the Included Break Time hours and minutes dropdown menus to add a break for the User's Shift.

  12. (Optional) Check the Is Shift Leader? box to assign the User as a Shift Leader. See the Add a Shift Leader article for more information on a Shift Leader's responsibilities.

  13. Click the Submit button.


Via the Users List

  1. Click Users > Users.

  2. Click to select specific Users to add to a Shift, or leave them unselected to apply the action to every User in the Users list.

  3. Click the Actions button.

  4. Hover over the Add Users to option.

  5. Click Shift. The Add Users to Shift window appears:

  6. Click the Event field to enter the name of the Event the Shift is located. The following fields appear after the Event is selected:

  7. (Optional) Click the Event Shift Date field to enter the date of the Shift, if applicable.

  8. Click the Event Shift field to enter the name of the Shift.

    💡Tip: Click the Create new Shift button to set up a new Shift if the one you need isn't listed.

  9. Click to select the Shift desired. The following field and options appear:

  10. (Optional) Click the Event Shift Date field to enter the date of the Shift, if applicable.

  11. Click the Event Shift field to enter the name of the Shift.

  12. Click to select the Shift desired. The following field and options appear:

  13. Click the Status dropdown menu to select a Shift status to assign to the User.

  14. (Optional) Click to check the Add to all linked Shifts box to add the User to every recurring Shift connected to this Shift. This option only appears if recurring Shifts are set.

  15. (Optional) Click to uncheck the Trigger Automation box to apply the automations associated with this Shift.

  16. Click the Apply To dropdown menu to select one of the following options:

    • All listed Users: Add all Users in the Users List to the Shift.

    • Selected Users: Add only selected Users in the Users List to the Shift.

  17. Click the Add button.


Delete a User From a Shift

There are several ways to add a User to a Shift depending on your location in the Rosterfy platform.

Via an Event's Shift List

  1. Click Events > Events.

  2. Click the View Shifts button on the Event's Shifts you wish to delete a User from. The Event's Shift list appears:

  3. Click the View Users icon on the Shift you wish to delete a User from.

    The Preview window appears displaying the User List:

  4. Click the View More Details button. The Shift Users list appears:

  5. Click the More Actions menu on the User you wish to delete from the Shift.

  6. Click Delete. The following window appears:

  7. Click the Yes button.


Via the User's Profile

  1. Click Users > Users.

  2. Click the More Actions button on the User you wish to delete from a Shift.

  3. Click View Profile. The User's profile appears:

  4. Click the Events/Shifts option in the left-hand menu. The list of Events and Shifts the User is rostered to appears:

  5. Scroll down to the Shifts section.

  6. Click the More Actions menu on the Shift you wish to delete the User from.

  7. Click Delete. The following window appears:

  8. Click the Yes button.


Via the Shifts List

  1. Click Events > Shifts.

  2. Click the View Users icon on the Shift you wish to delete a User from.

    The Preview window appears displaying the User List:

  3. Click the View More Details button. The Shift Users list appears:

  4. Click the More Actions menu on the User you wish to delete from the Shift.

  5. Click Delete. The following window appears:

  6. Click the Yes button.


Bulk Remove a User from Shifts

If you wish to delete a User from multiple Shifts simultaneously, you can apply a Bulk Update action.

  1. Click Users > Users.

  2. Click the More Actions button on the User you wish to delete from a Shift.

  3. Click View Profile. The User's profile appears:

  4. Click the Events/Shifts option in the left-hand menu. The list of Events and Shifts the User is rostered to appears:

  5. Scroll down to the Shifts section.

  6. Click to select specific Shifts to include them in a bulk action, or leave them unselected to apply the action to every Shift in the Shifts list.

  7. Click the Actions button.

  8. Click Bulk Delete. The Bulk Delete Shifts window appears:

  9. Click the Apply To dropdown menu to select one of the following options:

    • Shifts listed: Apply the bulk action to all Shifts in the Shifts list.

    • Shifts selected: Apply the bulk action to selected Shifts.

  10. Click the Delete button. The following window appears:

  11. Click the Close button to exit the window.
