Configure and Launch Kiosk Modes

Set up and launch Global or Regular Kiosk modes to transform any device into a fast, secure, QR-scan attendance terminal for Event Shifts.

📌 Note: The screenshots and settings shown in this article may not match what you see in your own platform, as Rosterfy is highly customisable. If you need guidance specific to your setup, please contact our support team.

Kiosk modes transform any organisation's device such as a tablet, laptop, or phone into a dedicated self-service device designed for rapid on-site check-ins.

To maximise throughput and keep lines moving quickly, these devices operate strictly via QR code scanning. There is no manual search function on the screen, and all custom check-in/out forms or waivers are completely bypassed.

💡Tip: Kiosk Mode does not work if you require any forms to be filled out. If your Event requires forms, use a different check-in method.


Prepare Your Kiosk Login Profile

💡Tip: For security reasons, system Administrators cannot use Kiosk Mode to check themselves in or out.

  1. Click Volunteers > Volunteers.

  2. Click the More Actions menu on the Volunteer profile desired.

  3. Click View Profile. The Volunteer's profile appears:

  4. Click the Access tab.

  5. Check the Can apply to Shifts as a Leader? checkbox.

  6. Click the Save button.


Enable Your Organization Settings

  1. Click Settings > Organization Settings.

  2. Click the Events tab.

  3. Click to turn the Use Default? button off on the Enable Event Kiosk Mode setting. This setting activates the baseline kiosk functionality.

  4. Click the dropdown menu next to the setting.

  5. Click Yes.

  6. (Optional) Click to turn the Use Default? button off on each of the following fields to configure them, if desired:

    • Allow Checkin by team leader this long before shift starts: The amount of time in hours and minutes before a Shift begins during which a Team Leader is permitted to check in their team members.

    • Allow checkout by team leader this long after shift ends: The amount of time in hours and minutes after a Shift finishes during which a Team Leader is permitted to check out their team members.

  7. Click to turn the Use Default? button off on the Allow Team Leader Check-in any Users setting.

  8. Click the dropdown menu next to the setting.

  9. Click Yes. The Allow global Kiosk Mode field appears:

  10. Click to turn the Use Default? button off on the Allow global Kiosk Mode field.

  11. Click the dropdown menu next to the setting > click Yes.

  12. Click the Save button.


Configure and Verify Volunteer QR Codes

For Kiosk Mode to function, personal QR codes must be active in your system so that Volunteers can present them on-site:

  1. Click Settings > Organization Settings.

  2. Click the Portal tab.

  3. Click the dropdown menu of the Portal QR Code Attribute field and select one of the following options. These options determine what the check-in device reads when it scans the code:

    • User RRN (Recommended): Embeds a unique number assigned to the User in the QR code. It is highy reliable for scanning because it never changes.

    • Rosterfy User Token: Embeds a secure, hidden code into the QR code. Best for high-security Events where you wish to protect volunteer privacy.

    • Rosterfy User ID: Embeds the system's main ID number assigned to the User into the QR code.

    • Email: Displays the User's full email address directly under the QR code.

  4. (Optional) Click the dropdown menu of the Displayed Attribute for QR Code field and select one of the following options. These options determine the text printed next to the code:

    • User RRN (Recommended): Display the User's system number. Useful only if Admins need to see record numbers.

    • Rosterfy User Token: Displays a long string of random letters and numbers.

    • Rosterfy User ID: Displays the User's ID number. Useful if a coordinator needs to manually type in an ID when a scanner breaks.

    • Email: Displays the User's email address.

  5. Click the Save button.


Customise Kiosk Screen Instructions

Customising the kiosk screen content displays clear instructions or maps directly beneath the camera scanner. This guides volunteers through the QR code scanning process and minimises confusion at self-service stations. See the following instructions:

  1. Click Settings > Portal Content.

  2. Locate the Check In Kiosk Mode page.

  3. Click the More Actions menu.

  4. Click Create. The Create page appears:

  5. Edit the language, if desired. English (Australia) is the default value.

  6. Select a Checkpoint, if applicable.

  7. Enter information in the Content field to display clear instructions or maps directly beneath the camera scanner.

  8. Click the Save button. When in Kiosk Mode, the content appears in the scanner as seen below:

💡Tip: The Check In Kiosk Mode page may be located on the next page of results.

💡Tip: It is recommended to keep content instructions limited to text and images as kiosks are designed to operate without a mouse or keyboard. Avoid adding videos.


Launch Kiosk Mode on Your Device

📌Note: The following screenshots represent Kiosk mode on a computer device. The appearance of kiosk mode varies depending on the device used.

  1. Launch the User Portal using your Kiosk profile.

  2. Click Events in the left-hand menu.

  3. Click the View Event button. The Event details appear:

  4. Click the Check in Kiosk Mode button. The following window appears:

  5. Click the Yes button. The Kiosk Mode scanner appears:

  6. Scan the Volunteer's QR Code.


Volunteer Check-In Experience

Volunteers can access their unique QR check-in code via two methods:

  • The Mobile App: Tap the QR code icon located in the top-right corner of the screen next to the notification bell icon.

  • The User Portal (Web Browser): Click the My ID button found underneath your name.
