Split Shifts

Split shifts streamlines the process, allowing admins to create shifts and send invitations in one seamless action.

Updated over a month ago

Overview

The ability to split shifts streamlines the process by allowing admins to create shifts and send invitations in one seamless action, eliminating the need for separate tasks.

By selecting this option, the original shift will be duplicated, and the admin can specify the amount of demand that should be allocated to the new shift.

Once split, the demand will be removed from the original shift and applied to the new duplicated shift.

Note: The minimum demand for both the original shift and the newly created shift will automatically update to match the User Required/Demand field.

Be sure to update these fields if the User Required / Demand differs from the requirements of minimum demand.

Splitting Shifts

To split a shift, follow these simple instructions:

  1. In the Admin Console, navigate to Events > Events.

  2. Locate the Event in the list or search for it in the search bar, and click View Shifts.

  3. Locate the shift you would like to split, click More Actions > Split Shift.

  4. The pop up window allows admins to choose the setup of the new shift:

The demand for the new shift

  5. Then click Split.

Limit the Split Shift to a Specific User Group

Admins can enhance their shift management by specifying a particular user group to which the new split shift will be limited to.

Additionally, there is also options for the shift leader to automatically become the group leader for the newly created shift and choose to trigger automations for group leaders being added to the new shift.

Automatically Create an Invitation when Splitting Shifts

Admins are able to create a new invitation for the shift, based on an existing invitation template.

When you choose to split a shift, a pop-up will prompt you with the option to Create invitation for new Shift?. If you select this option, an additional field will appear, enabling you to choose the desired Invitation Template.

Upon selecting the option to split a shift, the system will now automatically:

  • Generate a new invitation for the newly created shift, incorporating any applicable merge tags.

  • Link the invitation directly to the new shift.

  • If a user group has been specified, the invitation will also be tied to that group.
New users who accept the invitation will automatically be added to that group.

Note: The group you choose while splitting the shift will take precedence over any group specified in the invitation template.

  • Upon creating the invitation, a unique link will be generated for the admin to share with the group leader. When individuals use this link to complete the form, they will be automatically signed up for the shift and added to the designated user group.
