Create and Manage Admin Permission Roles

Set up Full Admin, Lite and System Admin (Custom) roles, manage CRUD permissions and filters, and securely assign or remove user privileges.

📌 Note: The screenshots and settings shown in this article may not match what you see in your own platform, as Rosterfy is highly customisable. If you need guidance specific to your setup, please contact our support team.

Managing platform access requires a balance between operational efficiency and data security. While standard accounts include a default Full Admin role with complete system authority, you can build custom roles to delegate responsibility safely.

Lite Admin roles provide operational console access while locking critical settings. For higher-level delegation, System Admin (Custom) roles start with full administrative privileges, allowing you to fine-tune module-level CRUD (Create, Read, Update, Delete) rights and attribute filters to mirror full admin power without sharing a master account. Strictly enforced safeguards ensure administrators cannot assign roles higher than their own access or modify their own permissions.

💡Tip: See the Understanding Admin Permission Roles article for a comprehensive list of permissions available for each role type.

Invite a Full Admin

The Full Admin role grants complete, platform-wide access, with all system permissions enabled by default upon setup. To grant a user default Full Admin access:

  1. Click Users > Users.

  2. Click the Invite Admin button. The Invite Admin window appears:

  3. Enter the user's Email address.

  4. Enter the user's First Name.

  5. Enter the Last Name.

  6. (Optional) Enter the user's Phone number.

  7. Enter the user's Date of Birth.

  8. Click the Save button. The Update User screen appears:

  9. Add or update any information, if desired.

  10. Click the Save button.

💡Tip: Once a user is created and assigned an admin role, they will automatically receive an email containing their login information and instructions to access the system.

💡Tip: Full Admin accounts cannot be impersonated.

Create a Lite Admin

The Lite Admin role is designed for users who need operational access to the Admin Console but should not have the ability to modify core settings, system configurations, or sensitive information established by a Full Admin.

💡Tip: For a comprehensive list of Lite Admin limitations, see the Understanding Admin Permission Roles article for more information.

  1. Click Settings > Admin Permissions.

  2. Click the Create button.

  3. Click Lite Admin. The Create Lite Permission Role appears:

  4. Enter a Name for the permission role.

  7. (Optional) Check the Is inheritable? option for the role to be inherited by your subaccounts.

  8. Click the Save button.

Create a System Admin (Custom)

A System Admin role is a fully customisable role where you start with the exact same set of permissions available to a Full Admin, but can tailor them down to fit specific needs.

  1. Click Settings > Admin Permissions.

  2. Click the Create button.

  3. Click System Admin. The Create Permission Role appears:
