As an administrator, you can add new users to your platform, grant administrative privileges, and manage account details from a centralised location. Creating a user account allows you to register individuals within Rosterfy, assign administrative access as needed, and optionally send an email invitation containing setup instructions.
Existing user records and permissions can be updated using the method that best fits your workflow. You can make rapid adjustments directly from the main list view using the quick update feature, open an in-depth profile view to manage comprehensive user records and access settings, or apply updates to specific fields and roles across multiple users simultaneously using bulk actions.
IN THIS ARTICLE:
Invite a User
Click Users > Users.
Click the Invite User button. The Invite User window appears:
Enter a valid Email Address.
Enter the user's First Name.
Enter the user's Last Name.
(Optional) Enter the user's phone number.
Enter the user's Date of Birth.
Uncheck the Send Email to User? box if you do not want an automatic invitation sent to the user.
💡Tip: It is recommended to keep this option selected to automatically email the user a login link so they can complete their registration.
(Optional) Click the Show Advanced Options button to select options from the following dropdowns:
Choose Default User Type: Select the default profile type assigned to users, which controls the specific form fields they see on their profile and allows for targeted filtering in user lists. See the Create and Update a User Type article for more information.
Choose User Checkpoint: Assign a checkpoint to mark a user's progress through their onboarding or application steps, controlling their portal access as they advance manually or via automations. See the Create and Update a Checkpoint article for more information.
(Optional) Add to a User group: Assign the user to a specific group to control their access to targeted events, shifts, and news. See the Create and Update a User Group article for more information.
Click the Save button. An email is sent to the user to complete registration and create a password for their account:
Invite an Administrator
💡Tip: It is possible to grant administrative privileges to any user by updating their access settings directly within their profile. Users initially created as administrators cannot be demoted to standard users, though you can assign them a custom role to restrict their administrative permissions. See the Create and Manage Admin Permission Roles article for more information.
Click Users > Users.
Click the Invite Admin button. The Invite Admin window appears:
Enter a valid Email Address.
Enter the user's First Name.
Enter the user's Last Name.
(Optional) Enter the user's phone number.
Enter the user's Date of Birth.
(Optional) Click the Choose Role dropdown menu to assign admin permissions. See the Create and Manage Permission Roles article for more information.
💡Tip: Leaving the Choose Role field blank automatically grants the user full administrator permissions.
Click the Save button.
Update a User
Administrators can update user details using two main methods depending on the level of changes required. You can use the Quick Update feature directly from the main user list to rapidly edit key information, or open a user's full profile to view and adjust their complete record, custom fields, and account settings.
Quick Update a User
Click Users > Users.
Click the Quick Update User icon.
The user's profile appears:
Update the information desired.
Click the Save button.
💡Tip: Click the View Profile button in the top right corner of the user profile to view the user's full profile.
View a User's Profile
Click Users > Users.
Click the More Actions menu on the user's profile you wish to view.
Click View Profile. The Update User screen appears:
Update the information desired.
Click the Save button.
Bulk Update Users
If you wish to update multiple users simultaneously, you can apply a Bulk Update action.
Click Users > Users.
Click to select specific user's to include them in a bulk action, or leave them unselected to apply the action to every user in the User List.
Click the Actions button.
Click Bulk Update Users. The Bulk Update Users window appears:
Toggle the Don't Update button off to modify the settings listed.
Click the drop-down menu on the Apply To field to select one of the following options:
All listed Users: Apply the bulk action to all users in the User List.
Selected Users: Apply the bulk action to selected users.
Click the Save button. The following window appears:
Click the Yes button. The following window appears:
Click the Close button to exit the window.
