Add Parental Consent to a Form

Streamline parental consent collection across your forms.

Parental consent checks are administered through forms, allowing administrators to gather required authorisations from parents or guardians across volunteer and organisational programs. Parents or guardians can complete consent requests through a streamlined process without needing to create an account. Parental consent checks can be administered using the following four form types:

  • User Data Collection Form: Collects guardian details and parental consent during initial registration, storing authorizations directly on the user's profile.

  • Role Offer Forms (Accept, Application Withdrawal, Reject, and Interaction): Captures parental consent at specific recruitment and onboarding stages, storing records against the role offer or the user profile.

  • Expression of Interest Forms (EOI and Cancel EOI): Logs Event-level parental consent and interest directly against the user or event record.

  • Shift Application Form: Verifies required parental permissions via a prompt before a volunteer or staff member can confirm a shift.

Submitting a parent or guardian's details through a form does not automatically send a consent request. To get started, make sure to set up your communications first. This includes creating the messages needed to send the initial request, notify admins upon completion, and deliver follow-up reminders to both guardians and candidates. Once those are ready, you can configure the automations that trigger them.


Define Age Restriction Settings

Age restrictions can be applied at the following levels:

Organization Level (Global)

Assigning age limit settings at the organization level applies the feature across all Events and Shifts by default. To alter this for a one-off scenario, you can override this global setting at the Event or Shift level.

  1. Click Settings > Organization Settings.

  2. Click the Users tab.

  3. Click to turn the Use Default? button off on the Mininmum Age setting.

  4. Click the Years dropdown menu to select the minumum age in years.

  5. Click the Months dropdown menu to select the minimum age in months.

  6. (Optional) Enter a Minimum age by date for users to meet the age requirement, if desired.

  7. Click the Save button.


Event Level

Enabling the age restriction within an Event's settings applies the age limit specifically to that Event and all of its associated Shifts.

  1. Click Event > Events.

  2. Click the More Actions menu on the Event you wish to update.

  3. Click Update. The Event appears:

  4. Click the Advanced tab.

  5. Scroll to the Volunteer Application Settings section.

  6. Check the Has Age Limit box. The following fields appear:

  7. Enter a Minimum Date of Birth or Minimum Age.

  8. Click the Save button.


Shift Level

Enabling the age limit directly on an individual Shift applies the restriction strictly to that single Shift, leaving the rest of the Event unaffected.

  1. Click Events > Events.

  2. Click the View Shifts button on the Event the Shift is located. The Event's Shift list appears:

  3. Click the More Actions menu on the Shift you wish to update.

  4. Click Update. The Shift appears:

  5. Click the Advanced tab.

  6. Check the Has age limit box. The following fields appear:

  7. Enter a Minimum Date of Birth or Minimum Age.

  8. Click the Save button.


Add Parental Consent to a Form

💡Tip: A reference check configuration must be created before it can be added to a form. See the Configuring Reference Checks and Parental Consent article for more information.

Parental consent checks can be added to new or existing forms. The following instructions relate to an existing form. See the Create and Update a Form article for more information. Refer to the beginning of the article for a list of forms reference checks can be added to.

  1. Click Forms > List.

  2. Click the More Actions menu on the form you wish to update.

  3. Click Update. The Form Builder appears:

  4. Click the Actions button > Add Referees option, or click the arrow next to the User Checks field in the Available Fields section of the form.

    The Referees window appears:

  5. Enter a name for the Field Label.

  6. Click the Check Configuration to select the User Check configuration.

  7. (Optional) Enter a Label for reference.

  8. Click the Update button.

  9. Click the Save button.

💡Tip: Submitting a referee's details does not automatically trigger the reference check. Administrators must ensure the necessary automations are set up to send the initial request, notify admins upon completion, and deliver follow-up reminders to both referees and candidates. Update Parental Consent on a Form

To make changes to the Referee field on the form:

  1. Click the Referee field on the form. The Referees window appears:

  2. Edit the field, as desired.

  3. Click the Update button.


Remove Parental Consent From a Form

  1. Click the Referee field on the form. The Referees window appears:

  2. Edit the field, as desired.

  3. Click the Remove button.
