Creating Items

Items such as certificates, uniforms and vouchers can be added to Rosterfy for use throughout the Rewards & Recognition Module.

Overview

Items can be added to the Rewards & Recognition Module within Rosterfy.

Items usually fall into two categories - Rewards or Entitlements.

Rewards can be physical or digital items that are typically assigned to your users to recognise their contribution based on attendance or hours volunteered/worked.

Entitlements are items that can be assigned to your users as part of their role or involvement in an event; i.e. uniform, radio, meal vouchers, accreditation etc.

This article will take you through creating items in Rosterfy for allocation to your users through automations or through the vendor module.

Note: Custom fields will be required when adding items to Rosterfy with variants, for example, T-shirt size will have values such as small, medium, large.

It is important to determine whether an item will have variants before you create it, as this setting cannot be changed later and will require a custom field to be set up first.


Creating Items

To create items in Rosterfy, follow these simple steps:

  1. In the admin console, navigate to Users > Rewards & Recognition.

  2. On the Items tab, click Create.

  3. Complete the required fields to create an item:

    Name: This is the name of the item.

    Type: Will need to select Distributable if you want to allocate via the Vendor Module.

    Sort Order: This determines the order the item is displayed on the list.

    Category: You can pre-enter Categories, navigate to Users > Rewards & Recognition > Categories tab.

    SKU / External ID: Enter your organisation's unique identifier for this item/product (if applicable).

    Upload Image: You can either choose to upload an image to use in the portal to represent this item, or use a system icon.

    Choose an Icon: Either upload an image or use a system icon.

    Has Variants: Select this checkbox if the item has variants, such as size.

    Varies Based on Custom Field Source: Select the custom field you created earlier, or click + Add New to create it now.

    Maximum Times this Item can be Assigned to one User: If 0 is selected, it is unlimited.

    Has Serial: Select if you would like to utilise serials.

    Has Expiry?: Select this and the item will expire after a set time from allocation.

    Redeemable: A redeemable item can be redeemed in the portal for points.

    Is Distributable at Check-in and Check-out: Select if applicable.

    Allow Item to be Inheritable: Checking this will allow the item to be inherited to any sub-accounts.

    Publish: The item is only available once published.

  4. If Has Variants is selected, an additional section will be displayed for the variants in the custom field. You can either manually assign the Name and SKU / External ID’s, or click Auto-suggest Variant Details


Viewing Items

The Items list shows an overview of all items created, the information on the item list page also includes information about the type of item, whether the item has been published and the available stock levels.

To view all items, navigate to Users > Rewards & Recognition > Items tab.
