Parental Consent & Age Restrictions - Overview

Rosterfy allows admins to set age restrictions throughout the system and obtain parental consent for a child to have an account and participate in events / activities

Overview

The Rosterfy Parental Consent module allows administrators to set age restrictions throughout the system and obtain parental consent for a minor to have an account and participate in events / activities.

Administrators can create custom questions for the parental consent, parents / guardians are able to complete the consent without the need for a Rosterfy account.

Admins are also able to create different types of parental consents to support diverse organisational needs.

There are a number of steps that need to be completed to have the parental consent module set up on the Rosterfy platform, including:

  • Enabling the Parental Consent Module

  • Setting up the Parental Consent Forms

  • Setting up Communications

  • Setting up Automations

Below we will step you through these simple steps.


Part One: Enabling the Parental Consent Module

The first step to setting up the Parental Consent module, requires the module to be enabled within Rosterfy.

Part Two: Setting up the Parental Consent Forms

The second step to setting up the Parental Consent module, requires a form to have the consent collection fields added to it.

Part Three: Setting up Communications

The third step to setting up the Parental Consent module, is to setup a number of Email Templates to utilise the Parental Consent module.

Part Four: Setting up the Automations

The fourth Step is to setup a number of automations that are required as a minimum to use the Parental Consent module effectively.

Viewing Parental Consent Responses

When Parents/Guardians complete the Parental Consents, administrators with applicable permissions will have access to view responses.

There are a number of ways to view the Parental Consents, below we will show you the following ways:

  • Within User Checks

  • Within the User Profile Admin View

  • Within the User Portal

Within User Checks

To view the responses, navigate to Users > User Checks.

A full list of all Parental Consents & Reference Checks will be displayed here and can be filtered using Advanced Filters.

Within the User Profile Admin View

To view the responses, navigate to Users, locate the user whose Parental Consent you would like to view.

Select More Actions ellipses > View Profile.

The users profile page will be displayed, navigate to User Checks within the profile.

Within the User Portal

You can also give visibility of the Parental consent to the User within the Portal View by creating a User Interaction Form with the Parental Consent module added.

This can be added to the Portal Dashboard or the form URL can be added as a weblink based on a checkpoint.


Parental Consent Status

The Parental Consent will show a number of statuses throughout the process as steps are completed, below are the statuses you may see:

  • Pending: The Parental Consent has been created and awaiting a response.

  • Ready: The required number of parental consents have been approved.

  • Failed: The Parental Consent has timed out.

4. The parental consent is showing as auto-approved, what does this mean?


1. When will a Parental Consent be marked as Approved?

A parental consent will be automatically marked as Approved, once a Parent/Guardian has filled out their consent form.

This field is now locked, if you need to edit this you will need to contact Rosterfy for assistance on [email protected].


2. I don't want to set a timeframe for the parental consents, how do I leave it open?

When enabling the Parental Consent module, the field Days Until Parental Consent Expires, controls how many days the parent/guardian has to complete the parental consent.

If you would like to keep this available with an unlimited timeframe, simply enter 0 in this field.

The consents will remain Pending until they complete the Parental Consent and will not automatically be updated to Unavailable.


3. A parent/guardian did not complete the consent in time and are showing as Unavailable, how do I resend it to them?

Once a parent/guardian is showing as Unavailable, the link to complete the parental consent will not longer be valid. You can resend the consent to them by reentering their details into the parent/guardian field.

They will be resent a request to complete the parental consent with a new link.


4. Do parental consents auto-approve?

All parental consents will auto-approve, once the parent/guardian completes the parental consent request.

There is no need for administrators to assess the response to progress the parental consent.
