Introducing Pip, an intelligent in-product assistant designed to simplify how you manage your workflows for Events and Shifts.
Pip simplifies complex and repetitive tasks by creating new setups or modifying existing ones based on your instructions. Pip then drafts the setup, explains the intended adjustments and waits for your confirmation.
In this beta phase, Pip can assist with all Events and Shifts tasks including recurring schedules and Kiosk Mode setup. Pip cannot perform unrelated tasks or retrieve data outside of the Events and Shifts modules at this time.

Getting Started With Pip
You can find Pip in both the Events and Shifts modules of the application.
Click Events > Events to create or modify Events, or Events > Shifts to create or modify shifts.
Click the Create with AI button located in the top-right corner of the application. Pip expands from the right-side of your screen.
Select one of the following prompts to get started, or type your request in the input field.

Here is an example where Pip was asked to create an Event with recurring Shifts for the next 5 weeks.
āVerification and Safety Protocols
To validate updates, you will be prompted to review every action before it is applied. Pip maintains this control by detailing the proposed task and waiting for your confirmation before implementing changes. Pip is programmed to reject destructive prompts such as bulk deletions, and seeks clarification whenever instructions are ambiguous and require further detail.
š Note: In this beta phase, Pip may override standard approval requirements for Events and Shifts. After the beta period concludes, Pip will strictly adhere to all system permissions to ensure that actions performed by Lite Admin roles are correctly routed for approval.
Data Security and Privacy Standards
Rosterfy recognises the critical importance of your organisational and volunteer data. Pip adheres to the following core security and privacy protocols:
Privacy protection: Pip is programmed to protect Personally Identifiable Information (PII). Pip will automatically decline requests for sensitive attributes and provide guidance on the appropriate handling of personal data.
Ephemeral session storage: To ensure privacy, conversation history is not stored permanently. Data is retained only locally and temporarily to support your active session.
Strict data isolation: Pip operates exclusively within your specific Rosterfy account. It is strictly prohibited from accessing external data sources or information from other customer accounts.
Model integrity: Your data is never utilised to train external or third-party AI models.
All security and privacy frameworks have been audited and approved by the Rosterfy Legal team.
