Overview
Waivers allow you to record the signature of your users, along with a date and time the waiver terms and conditions was accepted. This feature ensures that all participants have formally acknowledged and agreed to your organisation’s requirements, supporting compliance and safeguarding obligations.
The captured waiver record is securely stored within the platform, providing an auditable trail for administrators, dispute resolution, and regulatory review. By automating the collection and documentation of waivers, Rosterfy reduces manual effort for administrators, minimises legal risk, and streamlines onboarding for both volunteers and paid staff, ensuring peace of mind for all stakeholders.
Enabling the Waivers Module
Organisation Settings
The Waivers module requires a few steps to enable it, the first is to ensure the module is activated, follow these simple steps to activate the waivers module:
In the Admin Console, navigate to Settings > Organization Settings.
Either swap to the Users tab and locate Enable Waivers, or search in the search bar.
Ensure this setting is set to Yes.
Note: If you are logged in with Full Admin permissions and unable to see the Waivers settings, please contact Rosterfy Support and we can enable this on your behalf.
Admin Permissions
Admins will require the appropriate admin permissions to be able to Create, Update, Read or Delete the waiver content.
To control the access to the waivers admin permissions, navigate to Settings > Admin Permissions and update the appropriate settings.
Creating Waivers
Once the above setting is turned on and the admin has the right access they can start creating the contents by accessing the waiver menu, navigate to Users > Waivers, and click Create.
Waivers can also have expiry dates, this will control how long the waiver is valid for.
Once completed, admins will now be able to add the waiver to relevant forms, including personalising the Agree to Terms and Conditions label.

Note: Waivers are form specific which means an event user waiver can not be selected on role offer user form.
Waivers can also be added to registration forms, users will not be created until they accept the waiver.
Submitting Waivers
Users can easily complete forms that include waivers by reading the content and ticking the box I agree to the terms and conditions, or associated term.
When impersonating a user and completing a form with a waiver it will show slightly differently, with an additional field showing who the form was signed on behalf of.
Shift Leaders submitting Forms with Waivers
Shift Leaders can successfully submit forms that include waivers such as Check-in and Check-out forms, on behalf of their team members.
The form will display Signed by [Shift Leader name] on behalf of [Team Member name].
Waivers in the Rosterfy Mobile App
Volunteers can conveniently complete their waiver signing directly within the mobile app, creating a seamless experience that mirrors the functionality available on the desktop Volunteer Portal.
When users fill out a form, the waiver content will display according to the settings configured in the form template. Volunteers can easily indicate their agreement by selecting a checkbox, which automatically populates the signature field with their full name.
Note: Signed waivers remain valid across different forms unless they have an expiration date; if a waiver expires, the app will prompt users to sign it again.
Ability to View Signed Waivers in the Mobile App
Users can easily view the waivers they have signed all in one place, by navigating to View Account > Waivers tab.
All waivers they have signed will be shown here, regardless of whether they were signed through the App or on the desktop portal.
Each waiver will be shown in the list, with a short preview (first 2 lines of the waiver), and where applicable, a Show More button to expand the full content.
Waivers - Frequently Asked Questions
1. When can a user resign a waiver that is expiring?
Users will not be able to resign a waiver until it has expired. There is currently no grace period available when a waiver is coming up to it's expiry date.
2. Can I export signed waivers to PDF?
Waivers are not able to be exported from Rosterfy in any form, including PDF. However, they can be viewed within the console.
3. What reporting is available for waivers?
Currently there is no reporting available for waivers within Rosterfy.
4. Can I change the name/terminology of waivers on the volunteer portal?
The label for waivers is unable to be changed on the volunteer portal.
