Create and Manage Certificates

Recognise and reward volunteers with automated, branded, and downloadable certificates accessible directly through the Volunteer Portal.

Certificates allow you to recognise volunteers with branded, downloadable awards for completing training, participating in events, fulfilling roles, or achieving milestones. Administrators can set up automated delivery rules or manually assign certificates to volunteers either individually through their profile or in bulk. Once awarded, volunteers can easily access, view, and download their personalised certificates anytime directly from their Volunteer Portal.

šŸ’”Tip: After a certificate is created it can be assigned to an Event, Shift or User. See the Assign a Certificate article for more information.

šŸ’”Tip: Adding a certificate to a Shift after it concludes requires manual allocation to volunteers.


Create a Certificate

  1. Click Users > Rewards and recognition.

  2. Click the Certificates tab.

  3. Click the Create button. The Create Certificate screen appears:

  4. Enter a Name for the certificate.

  5. (Optional) Enter a Portal Label for the certificate, or click the Mail Merge Tags icon to assign a mail merge tag to the certificate.

  6. (Optional) Click the Paper Size dropdown menu to select one of the following options: A4 or A3.

  7. (Optional) Click the Orientation dropdown menu to select one of the following options: Portrait or Landscape.

  8. (Optional) Click the Choose a file button to upload a background image for the certificate. The File Upload window appears:

    šŸ’”Tip: For the best visual result, scale your image dimensions to match the page size and orientation of the certificate, as the image will stretch to fill the entire page.

    1. Click the Upload button. The Add File window appears:

    2. Enter a Name for the file.

    3. Click the Browse button. The Open window appears:

    4. Select an image.

    5. Click the Open button.

    6. Click the Upload button. The File Upload window appears with the uploaded image:

    7. Click the More Actions menu on the image you wish to add to the certificate.

    8. Click Select.

  9. (Optional) Click the Add Text button to add text to the certificate. The Add Text window appears:

    1. Click the envelope icon to insert a mail merge tag onto the certificate, or enter a small amount of text into the Content field. This can be edited after it is inserted on the form.

    2. Click the Add button.

    3. Scroll under the certifcate to adjust the text settings:

  10. (Optional) Click the Add Image/QR Merge Tag to insert a QR code. The Add Image or QR window appears:

    1. Click the envelope icon to insert a mail merge tag as a QR code.

    2. Click the Add button.

    3. Scroll under the certifcate to adjust the merge tag settings:

  11. (Optional) Click to check the Is Deafult option to set the certificate as the default template.

  12. Click the Save button.

    šŸ’”Tip: Click the Preview button to download a PDF file of the certificate.


Update a Certificate

  1. Click Users > Rewards and recognition.

  2. Click the Certificates tab.

  3. Click the More Actions menu on the certificate you wish to update.

  4. Click Update. The Update Certificate screen appears:

  5. Update the information desired.

  6. Click the Save button.


Delete a Certificate

āš ļø Warning: Deleting a certificate is a permanent action and data cannot be restored.

  1. Click Users > Rewards and recognition.

  2. Click the Certificates tab.

  3. Click the More Actions menu on the certificate you wish to update.

  4. Click Delete. The following window appears:

  5. Click the Yes button.
