Importing Users

Rosterfy’s import tool streamlines administrative tasks by enabling quick creation, updating, and deletion of users, as well as assigning users to shifts and groups - simply upload your .xlsx or .csv file for seamless data migration.

Overview


The import tool within Rosterfy allows organisations to save time and effort with administrative tasks, including:

  • Creating new user records

  • Updating current user record data

  • Deleting users

For organisations transitioning to Rosterfy with an existing user database or migrating from another system, users can be seamlessly imported into Rosterfy by uploading a .xlsx or .csv file.

This article will outline the steps required to import users into Rosterfy.

Importing Users

To import users to your Rosterfy account, follow the steps below:

  1. In the admin console, navigate to Users > Users.

  2. Click Actions > Import Users.

  3. Select Create in the action field to add new users, this will enable you to click on the Excel or CSV button and download a copy of the import template file.

  4. Complete the fields of the file for the user records you wish to import into Rosterfy.

    The file will need to contain the follow fields in order for a user to be created:

    Firstname

    Lastname

    Email

    Date of Birth

    Once complete, save the file in a location you can easily locate.

  5. Click Browse to select the file, you will also need to tick a box to confirm that you have consent from the users to upload their data into Rosterfy.

    There is an additional option to allow you to send email communication to new users on upload.

  6. Click Upload, once complete.

  7. The Import Mapping screen will be displayed, here you will need to select the appropriate field for each column of data.

  8. Click Proceed, when complete.

  9. The import will be processed, and you will receive an email when it is complete.

Note: If there are any issues with the import file, the notification in the admin console, and the email you'll receive will outline the issues.
